There are two ways to start your day.

The first is to dive in; tackling whatever is in front of you. You might check your emails. This is an interesting beginning as it is always possible something fun and new came in since you last looked.

Email is fun! And of course - it is important! But then you come up for air after working in answering some emails, following through on some links (weren’t those sites fascinating?) and figuring out how you can use the information you just overloaded yourself with. You look at the time - and its noon. Where did the time go?

Everyone has at least one of them. Something you hate to do. Something you dread. You procrastinate about it or do your best to avoid it. When you have to do it you get crabby about it.

What is it for you? Your staff meeting? Traveling for business? Working with a particular client or co-worker? Dealing with computer problems? Doing your expense report? Performance reviews?

How often have you heard yourself say, ”I’ve got so many balls in the air I don’t know how I can possibly keep track of them all”.

We may be managing to keep the balls in motion, but how good is our juggling performance really? Are our movements controlled and rhythmic? Or are we merely gritting our teeth and hoping to catch the next ball before it falls on the ground?

Procrastination comes from the ancient Latin word procrastinatus: pro (forward) and crastinus (of tomorrow). Thus the word means forwarding it to tomorrow. I saw a sign at a restaurant which read: “Free Beer Tomorrow”. And if you went there tomorrow, this sign will still read tomorrow! For most people when they say “I’ll do it tomorrow!” same rule applies! If you really want to do it, you put a real date on it.

If a child is constantly being yelled at to clean up his room, and all he does is to hide everything under the bed and in the closet, it might be because he doesn’t have sufficient space and knowledge about how to do it. Rather than writing, “You are a mess” on his mental walls, it is advisable to figure out why the situation happens.

Paper management is one of the biggest problems people face today - when we are supposed to be “paperless”. Statistics indicate that there are nearly 650,000,000 pages printed from computers every day. That’s enough to fill a file drawer 180 miles long! And there are 178.9 billion fax pages sent/received per day; a 1500% increase in only the past 5 years! Where does all this paper go? It ends up on top of your desk, cabinets, windowsills, drawers, kitchen counters, dining room table. And when you will have guests, it goes into paper bags to be hidden under the sink, inside the dryers, and pantries!

Post It’s are a great invention, are they not? They come in great colors, different shapes, and they have flags, dividers, tabs, and they even come inside of a highlighter! They also seem to act like gremlins after you get them wet. One of my clients called me one afternoon and she swore that after she came back from lunch her Post It’s had reproduced like bunnies and she was now overran with pink and yellow stickies all over her desk. What else could I do but laugh? I thought back to how many times that has happened to me and how many times I had actually done the very same thing.

1. Make an Appointment with Yourself. Schedule some “me time”. What you do with this time is up to you. Block out some time for writing, organizing, reading, or anything. It can be work related or it could be personal time at the spa or an hour at the park with your kids. If you get in the habit of marking these blocks of times for yourself in your calendar, you’ll find that your days will become more productive and you’ll still have time to the things that are important to you.
